THE OPPORTUNITY
Our client, Boyle Investment Group, is recruiting for an Executive Assistant to the Chief Executive Officer. The Executive Assistant is responsible for providing senior administrative and professional support to the CEO. The successful candidate will be responsible for all aspects of supporting the CEO including organization of his calendar and meetings, travel scheduling and bookings, creating and editing written correspondence, taking meeting minutes, having responsibility for a small payroll and bookkeeping for the organization, pre-meeting preparation and any other administrative functions that would assist in keeping efficiencies. The incumbent enhances the CEO’s effectiveness and efficiency by proactively supporting administrative requirements, balancing demands on their time, and utilizing extensive administrative expertise to best support the management of critical tasks and information. Often as the first point of contact, the role provides exceptional service and professionally represents the CEO to all internal and external contacts.
RESPONSIBILITIES
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response
- Coordinate and manage the calendar schedule for internal and external functions and preparation of all materials for such functions
- Responsible for managing, resolving and/or directing concerns brought forward by staff, stakeholders or the general public
- Research information and background as required in support of the CEO activities, projects, and initiatives
- Write, draft, prepare and review correspondence on behalf of the CEO
- Arrange and coordinate travel schedule on behalf of the CEO
- Responsible for managing all expense related items including collating, reviewing and completing expense claims
- Daily preparation of calendar schedule, meeting notes, documentation, and background information in preparation for the day and all meetings that will be attended
- Works closely and effectively with the CEO to keep him/her well informed of upcoming commitments and responsibilities, including timely and appropriate follow-up
- Follows up on contacts made by the CEO and supports the cultivation of ongoing relationships
- Knowledgeable of and monitors office adherence to office policy/procedures
- Manages and supports the financial business of the organization including payroll, bookkeeping and bank reconciliation
- Maintains contemporary knowledge about relevant services, practices, or products; assesses applicability to the organization and implements where appropriate
- Complete duties as assigned by the CEO, special projects as required by the CEO, some of which may have organizational impact
FIRST YEAR – MEASURES OF SUCCESS
- Always be thinking one step ahead of the CEO as it relates to potential need for information, communication, planning, documentation, and event preparation; goal is to allow CEO to focus on the big picture while you focus on the details
- Superb attention to the finer details ensuring meetings are scheduled correctly in CEO’s calendar, travel plans are clear, CEO is prepped for meetings etc.
- Sound judgement skills: the successful candidate will build trust with the CEO by demonstrating that they think through situations clearly; identifying potential risks and challenges prior to making decisions/communications that could have adverse affects to the organization
- Financial acumen is sound with payroll, bookkeeping and bank reconciliations being done in a timely and accurate manner
THE INDIVIDUAL
Given the pivotal role this individual will be expected to play in achieving the strategic objectives of Boyle Investment Group and in supporting the success of the CEO, it is essential that the successful candidate possess the following education, experience, and personal characteristics:
Education
- Post-secondary education in office administration, business, accounting or relevant discipline preferred.
Experience
- Minimum 5 years’ experience in a management assistant role
- Exposure to accounting, bookkeeping and payroll using QuickBooks is a required skill for this role
- Spanish as a second language would be considered an asset
- Must be skilled in time management practices
- Excellent interpersonal, organizational, and administrative skills
- Strong communication skills, both written and verbal required
- Social media savvy and experience dealing with media and/or consumer inquiries
- Demonstrated ability to pay attention to detail
- Ability to be flexible and adaptable to changing priorities
- Maturity and discretion with confidential information
- Ability to work respectfully both independently and as a member of a team
- Ability to remain calm and practical in challenging situations or conversations
- Ability to manage multiple tasks, meet deadlines and respond to and resolve issues quickly
- Advanced expertise and knowledge in use of full suite of Microsoft Office, QuickBooks, and Google
